REFUNDS AND CANCELLATION

1)DEPOSIT PAYMENT POLICY
A deposit, as specified in the workshop description, is required at the time of booking.
Please note that the receipt of your deposit does not guarantee the workshop will proceed. We will confirm via email once the minimum number of participants has been reached, allowing the photographic tour to move forward.
In the event of a cancellation by participants, the following refund policy applies:
Less than 60 days before the workshop start date: The deposit is non-refundable.
If AF PHOTOTOURS cancels the workshop due to insufficient partecipation, the full deposit will be refunded.

2) PAYMENT OF BALANCE
The balance payment is due no later than 30 days before the workshop start date.
This payment is non-refundable. However, if we are able to fill your spot with another participant, we will issue a full refund, minus a 10% administrative fee.
If the workshop does not meet the required participant numbers, we reserve the right to cancel up to 60 days before the start date. In such cases, we will refund your deposit in full. 
***However, we strongly recommend having travel insurance to cover any additional expenses related to your travel plans.
All client cancellations must be submitted in WRITING. The date we receive your email will determine any applicable cancellation charges.

3) REQUIREMENTS FOR TRAVEL INSURANCE
When booking a AF PHOTO TOURS photo tour, you agree to secure appropriate travel insurance at least three months before the workshop begins or before making your balance payment.
The insurance must provide coverage for losses, expenses, and damages, including but not limited to:
a) Workshop cancellation initiated by the participant
b) Personal accidents and injuries
c) Medical expenses
d) Loss of baggage
e) Theft of camera equipment, personal money, and belongings
f) Flight cancellations and delays
g) Ensuring comprehensive coverage will protect you against unforeseen circumstances and potential disruptions.

4) ALTERNATIVES 
AF PHOTOTOURS reserves the right to adjust the tour itinerary as needed to account for changing circumstances or weather conditions.

5) VISA AND DOCUMENTS
It is the client’s responsibility to ensure they possess a valid passport, along with any required visas or permits. If visas are necessary, AF PHOTOTOURS will supply the supporting documentation to assist with the application process.

6) OUR CODE OF CONDUCT
AF PHOTOTOURS reserves the right to deny participation in our workshops. Payment of a deposit does not guarantee admission. All participants are expected to behave respectfully toward fellow attendees and workshop leaders, maintaining a courteous and cooperative atmosphere.
We have a zero-tolerance policy for aggressive behaviour or rudeness. Any participant failing to adhere to this code of conduct may be asked to leave the workshop without a refund. Our goal is to ensure the workshops remain educational, enjoyable, and positive experiences for everyone. Thank you for your understanding and cooperation.


7) FLIGHTS AND TRAVEL
Flights are not included in the workshop fee, and participants are responsible for arranging their own travel. AF PHOTOTOURS will provide detailed information regarding the itinerary, meeting point, and other relevant details.
We strongly recommend that you refrain from booking flights until we confirm the workshop will proceed, based on sufficient participant numbers. If the workshop is canceled, deposits will be fully refunded, but we cannot reimburse any flight-related expenses.

8) ASSUMPTION OF RISK
By booking a workshop with AF PHOTOTOURS, you acknowledge and accept the inherent risks associated with this type of travel, including but not limited to illness, adverse weather, political instability, strikes, natural disasters, technical difficulties, or other events beyond our control. While we work to mitigate such risks, AF PHOTOTOURS cannot be held responsible for delays, expenses, or disruptions arising from these circumstances. The facilities and services included in your workshop comply with local regulations or are reasonable based on local standards and customs when no regulations exist.
By participating in an AF PHOTOTOURS photographic trip, you voluntarily accept the risks associated with travel, including potential injury, illness, death, loss, or damage to personal property. This acknowledgment includes risks caused by nature, negligence, or actions of others. By agreeing to our Terms and Conditions, you release AF PHOTOTOURS its members, contractors, and partners from liability for any claims or demands resulting from your participation in the workshop.

9) PERSONAL RESPONSIBILITY
By booking with AF PHOTOTOURS, you confirm that:
a)You have selected activities appropriate for your physical abilities and interests.
b)You are in good health and do not knowingly have any condition that could endanger yourself or others.
c) You will review all pre-trip information, prepare adequately with the necessary equipment and clothing, and maintain consideration for fellow participants and the environment.

10) LEADERSHIP & RIGHT TO REFUSE PARICIPATION
AF PHOTOTOURS reserves the right to:
a) Cancel any activity or trip.
b) Accept or deny any participant’s involvement.
c) Remove individuals from a program if their behaviour or condition disrupts the group’s safety or experience.
d) The judgment of the workshop leader will be final regarding a participant’s ability to participate in or continue an activity.
By signing up for our workshops, you agree to these terms and acknowledge the risks involved.
